We are committed to protecting the privacy of our users, and we manage sensitive data with the highest level of confidentiality and security.

1. Information We Collect

We collect information in several ways, primarily categorized as Personally Identifiable Information (PII) and Non-Personally Identifiable Information (Non-PII).

A. Personally Identifiable Information (PII)

We collect PII only if voluntarily submitted by the User. This includes:

  • Client Hub Data (Highly Sensitive):
    • Login Credentials: Usernames and passwords used to access the secure client portal.
    • Financial & Tax Documents: Tax returns, W-2s, 1099s, bank statements, personal identification numbers, Social Security Numbers, business records, and other documents uploaded via the secure Client Hub (e.g., SmartVault, ShareFile, or similar integrated portal).
    • Payment Information: Payment details collected via our online payment gateway (Stripe). This includes credit card details (processed securely by Stripe, not stored by Proto & Loskey), billing address, and transaction history.

B. Non-Personally Identifiable Information (Non-PII)

We collect Non-PII whenever Users interact with our Site. This may include:

  • Technical information about the User’s means of connection to our Site (e.g., operating system, Internet service provider).
  • The pages visited, time spent on those pages, and other aggregate statistics gathered via Google Analytics.

2. How We Use the Collected Information

Proto & Loskey collects and uses User PII for the following purposes:

Purpose Description
To Provide Services To execute our professional engagement, prepare tax returns, conduct audits, manage payroll, and deliver accounting advice. This is the primary use of all Client Hub Data.
To Process Transactions To process payments for services. Information provided by Users for payment processing is used only to complete that service. We do not share this information with outside parties except to the extent necessary to provide the service (i.e., Stripe).
To Improve Customer Service Information helps us respond more effectively to service requests and support needs.
To Send Periodic Emails We may use email addresses to send User updates pertaining to their services, tax law changes, and firm news.
For Website Optimization We use Non-PII to understand how our Users as a group use the services and resources provided on our Site, allowing us to improve navigation and content.

3. How We Protect Your Information

We adopt appropriate data collection, storage, and processing practices and security measures to protect against unauthorized access, alteration, disclosure, or destruction of your personal information, especially the sensitive Client Hub Data.

  • Encryption: The Site is protected using SSL/TLS encryption (HTTPS). All data transferred between your browser and our Site is encrypted.
  • Payment Security: All financial transactions processed through our online payment gateway (Stripe) are managed directly by the third-party processor and are secured using bank-grade encryption and tokenization. Proto & Loskey does not store sensitive credit card information on its servers.
  • Client Hub: Client document uploads are handled by our dedicated, third-party secure client portal (e.g., SmartVault, ShareFile, etc.) which maintains separate, high-level compliance standards (including IRS, FINRA, or HIPAA requirements).

4. Sharing Your Personal Information

We do not sell, trade, or rent Users’ PII to others.

We may share generic aggregated demographic information (not linked to any PII) with business partners or trusted affiliates for the purposes outlined above. We only disclose PII when necessary to fulfill your requested service (e.g., providing data to tax authorities or payroll systems) or when required by law.

5. Third-Party Websites and Integrated Services

Users may find advertising or other content on our Site that links to the sites and services of our partners, suppliers, advertisers, sponsors, licensors, and other third parties. We do not control the content or links that appear on these sites and are not responsible for the practices employed by websites linked to or from our Site.

Specifically, your use of the secure Client Hub (e.g., SmartVault, ShareFile, or equivalent) and Stripe is governed by the privacy policies of those respective third-party providers.

6. Your Rights

You have the right to request access, correction, or deletion of your PII that we hold, subject to our legal and regulatory obligations as a CPA firm. Due to IRS regulations and professional standards, we are required to retain certain financial and tax documents for specific retention periods.
